HR & Payroll Specialist, Leiden (NL) / Darmstadt (DE), 32-40 uur p/w

For our international client we are searching for an HR & Payroll Specialist to work at their headquarters in Leiden (Netherlands) or Darmstadt (Germany).

You will be responsible for the processing of all elements relating to our Dutch and German payroll (200 employees), in collaboration with local payroll providers and your HR Team Lead. You will be an internal point of contact regarding social law and fiscal regulations within the HR field, as well as conducting benefits administration and supporting employee relations.

The HR & Payroll Specialist reports to the Payroll Team Leader and works closely with the Recruitment and Finance Teams, as well as the rest of the HR team. This position also allows for a hybrid working arrangement, with a mix of working in the office and from home.

Tasks and activities

The scope of work will include:

  • Being responsible for the timely and correct processing (inputs/outputs) of the German and Dutch payrolls via a payroll provider.
  • Being responsible for data entry into the supplier’s portal for all payroll related matters.
  • Taking care of a correct payroll set-up for international transfers, assignments and simultaneous working setups.
  • Taking ownership of payroll related activities such as on-boarding/off-boarding procedures, social documents, educational leave, time credit, absence and overtime tracking. Additionally ensuring that procedures are updated in line with changes in social/corporate/employment law. These tasks are performed in collaboration with the HR administrative team.
  • Maintaining accurate and updated data/files and ensuring all changes are appropriately documented.
  • Working closely with the Finance Team for the monitoring of the monthly payroll figures.
  • Participating in Payroll Projects under the supervision of the Head of Total Rewards, to ensure successful and timely delivery of KPI’s and objectives.
  • Monitoring, maintaining and improving the payroll processes for all financial and ISO certifications related audits.
  • Assisting employees with payroll related questions as well as social legislation matters at local level.
  • Maintaining administration of benefit programs such as insurances, meal vouchers, healthcare and pension schemes, ensuring timely and accurate monthly benefits enrolment, employee changes and discontinuation upon separation.
  • Providing backup to the HR Contract Officer during leave.
  • Supporting any other duties for the HR team as deemed necessary for the successful running of the Group.

Skills & required experience

The following skills and experience are mandatory:

  • At least 5 years of Dutch and/or German payroll experience, ideally in an international context. Experience with other European payrolls is a plus.
  • The ability to deal with all levels of company management, whilst handling confidential information.
  • Familiarity with social legislation, ideally at a European level.
  • Excellent communication skills, including the ability to respond effectively to questions from groups of employees and managers alike.
  • An analytical approach to work with a strong sense of detail.
  • Knowledge of computer software including database and spreadsheet applications to produce various reports, alongside excellent Excel skills.
  • The ability to remain flexible and positive in adapting to a dynamic, fast-paced environment.
  • Strong interpersonal and problem-solving skills, with the ability to manage multiple priorities.
  • Fluent in German and English, written and spoken. Good knowledge of Dutch is a plus.
